Getting Started
How do I create an account?
Visit app.truxello.com/signup to create your organization. Enter your company name, email, and set a password. You'll be dispatching within minutes. A free plan is available with up to 3 drivers and 50 loads per month.
How do I add drivers and dispatchers?
Once your organization is set up, go to the Drivers page in the web portal to add drivers. Each driver gets access to the mobile app. Dispatchers can be invited from the Settings page. The number of drivers and dispatchers depends on your subscription plan.
What subscription plans are available?
We offer four plans: Free (up to 3 drivers, 50 loads/month), Starter ($49/month, up to 10 drivers, unlimited loads), Professional ($149/month, up to 50 drivers, IFTA & GPS), and Enterprise (custom pricing, unlimited). View full details on our pricing page.
Load Management
How do I create and assign a load?
From the web dashboard, click "Create Load" and enter the pickup/delivery locations, commodity, rate, and other details. Then assign it to an available driver. The driver receives a push notification on the mobile app and can accept the load immediately.
What are the load statuses?
Loads move through these statuses: Pending, Assigned, Accepted, Picked Up, In Transit, Delivered, and Completed. Drivers update the status from the mobile app, and dispatchers see changes in real time on the web dashboard.
Can I assign multiple drivers to one load?
Yes. Truxello supports Primary, Team, and Relay driver assignments on a single load, making it easy to manage team driving and relay operations.
How do I upload a Bill of Lading (BOL)?
Drivers can take a photo of the BOL directly from the mobile app's camera or upload an existing file. Once uploaded, the document is securely stored in the cloud and instantly accessible to dispatchers through the web dashboard.
Fleet & GPS
How does real-time GPS tracking work?
When drivers use the mobile app with location services enabled, their GPS position is automatically shared with the dispatch portal. Dispatchers can see all active drivers on a live map. Location data is only collected while the app is in use.
How do I manage my trucks and trailers?
Go to the Fleet section in the web portal to add trucks and trailers. You can track unit numbers, VINs, types (dry van, reefer, flatbed, etc.), insurance and registration documents, and manage their status (active, inactive, out of service).
Settlements & Invoicing
How do settlements work?
Truxello generates weekly settlements for each driver based on their pay rate configuration (per mile, flat rate, or percentage of load). Completed loads are automatically included. Settlements go through an approval workflow before being finalized. Drivers can view their settlements in the mobile app.
Can I send invoices to brokers?
Yes. Create invoices from completed loads, add line items, set payment terms, and send them via email directly from Truxello. Track invoice status (draft, sent, paid, overdue) and manage your accounts receivable all in one place.
IFTA, Fuel & Expenses
How does IFTA reporting work?
Track state-by-state miles and fuel purchases throughout the quarter. Truxello calculates fuel tax obligations per state and generates IFTA reports that you can export. Available on the Professional plan and above.
How do I track fuel and expenses?
Add fuel entries with gallons, cost, state, and vendor information. Upload fuel receipts directly. For general expenses, categorize them (fuel, maintenance, tolls, insurance, etc.) and associate them with specific trucks, trailers, or drivers.
Compliance & Security
What happens when a medical certificate is expiring?
Truxello runs daily compliance checks and automatically alerts both dispatchers and drivers when medical certificates are approaching expiration. The compliance dashboard gives you an overview of all document statuses across your fleet.
Is my data secure?
Yes. Truxello is built on AWS infrastructure with enterprise-grade security. We use Cognito for authentication with role-based access control, encrypted data storage, and secure presigned URLs for document uploads. All data is encrypted in transit and at rest. For details, see our Privacy Policy.
Can I use Truxello on multiple devices?
Yes. The web portal works on any device with a modern browser. The driver mobile app is available for iOS and Android. All data syncs across devices in real time via WebSocket connections.
